Sidenote: Update All Software Regularly - Always run your software updates. You will receive notifications from the Technology Department periodically about waiting to update certain software, and another email when it is ok for you to update those items. Most of the time this is only related to Java or Operating System updates. If you are ever in doubt, contact your Technology Coach and they will be glad to assist you.
Organizing folders and Keeping a Clean Desktop
1. Using Folders and Saving Documents
Use the preloaded folders for all Documents, Pictures, and Music.
Be aware of naming conventions for files especially on Macs. Special characters like /, %, $, and many others can cause files to be corrupted when saved to the server.
Save the Desktop folder for only what you are working on currently. Just like you want your kids to put away their things when they are finished, it helps put files away from the desktop into the appropriate folders for storing.
Create "Shortcut" folders for things you want to be able to access from the Desktop Quickly.
Remove redundant messages:
Click on the Folder tab in the Ribbon. Find CLEAN UP FOLDER and click the arrow beside it.
Choose the second choose CLEAN UP FOLDER & SUBFOLDERS
Click OK
Mailbox Cleanup... - View Mailbox Size, Set Outlook to find items larger than or older than, Setup AutoArchive, Permanently empty deleted items folder contents, or delete all alternate versions of items in inbox.
To help manage your email, you can create folders. These folders can help you separate the mail you must keep from the mail you would just like to keep so you don't overload your inbox. You can use folders to keep mail from your committee at school separate from your email you received from your grade level. In your Microsoft Exchange Account (accessible from any computer via the OWA) Open Outlook. Right-click on your name (or Control-Click for a Mac) or on the name of the folder you in which you want a sub-folder to appear. Choose New Folder.

Type a name for the new folder and and it will appear it will appear on on your computer and OWA unless you have created the folder in On My Computer. (see below) 3. Backing up Email you don't need access to all the time On your Computer (only accessible on the computer on which it is created)
Deleting and organizing email messages goes a long way to making your computer use a success, but if you can't find the important emails when you need to it's for naught.
Ways to Find Messages (Mac)
Use the tool in the top right corner of Outlook. It will search the folder you have selected in the left column. Use any name or word from the message that you wish.
Use the Sorting Tools in each folder to help narrow the search. There are many different ways to sort the messages. (See image below.)
Ways to Find Messages (Windows)
Use the tool to look for messages by sender name, subject, or keyword.
Sort the email to help view the messages in a different way, such as by Sender.
Ways to Find Messages for All Devices
If your email is still missing, try these places...
Your Deleted Items folder. - They are not truly gone until you Empty Deleted Items folder.
Any folder you might have setup in your account and added a rule that transfers the messages automatically.
Your Spam Folder in Outlook - Unsolicited mail may go there. Scroll down the column on the left side of Outlook's window to find it.
Our district's SPAM blocking site, Barracuda.cmcss.net - There are 2 different ways to get to your mail caught by Barracuda.
One is to look for the most recent email from Barracuda Spam Firewall in your Inbox. Open it and look for .
The other way is to open your web browser and go to http://barracuda.cmcss.net and login with your whole CMCSS email address and your email password.
5. Create Email Rules
This automates the organizing of email as it comes to the inbox, but it's effectiveness is only as good as you make the rule. Just like genies, you must be careful what you ask for because it will follow the letter of the law or rule that you set. It does not interpret. Interpreting is within the human's abilities not the computer's.
Outlook 2011 (Mac)
Go to Tools in the Menu bar at the top of the Outlook window.
Click Rules.
Click Create Rule... and Add Your New Rule or simply click on Rules in the menu bar.

Select the conditions for applying the rule you are creating.
Click OK.
Outlook 2010/2013/2016 (Windows/PC)
Click on an email that is an example of the type you would like a rule to manage.
Click the HOME menu.
Click Rules button.
Click Create Rule... (Some information will be pre-populated to help you.)
Select conditions and actions for the rule.

6. Add Standard Electronic CMCSS Signature to Outlook
Consistent use of the new logo with relevant information provides the district an opportunity to emphasize its image and purpose by standardizing its electronic mail signatures. The CMCSS logo reflects our commitment to 100% of our students graduating college and career ready. In order to maintain fidelity to this brand, the district prohibits the use of any additional iconography, marks, artwork, quotations or other typography.
Cloud Services to Create, Store, Share and Back-up Files
1. Keep Files in Dropbox

Dropbox is a website that downloads and installs a web-enabled folder to the main folders in your account. Anything added to that folder will be backed-up to the cloud. If you have installed a Dropbox folder into 2 different computers and set them up with the same online account, anything put into one computer's folder is synchronized to the other computer's folder over the web as along as there is an Internet connection. If each teacher on a team or grade level sets up a Dropbox account and installs Dropbox, one member can create a shared folder in Dropbox folder and invite everyone on the team to access and add to its contents.
It is available for PC, Mac, Linux, Android, and iPhone.
Once it is installed, create an account for Dropbox.
Dropbox will show up in your Favorites location on both Mac and Windows/PC. Mac - finder Windows/PC - Computer
Creating a Shared folder for Collaboration with Other Dropbox Users
Control-Click on a Mac (Right click on PC) on the folder.
Choose "Dropbox" from them menu.
Choose "Share This Folder..." It will open a webpage.
In the webpage, type the email address and an optional message.
Click "Share Folder".

3. Google Drive
You can store and access your files anywhere with Google Drive — on the web, on your hard drive, or on the go. Use Google Drive on the web to store and organize all your files. In your personal Google account, you get 15 GB of free storage across Google Drive, Gmail, and Google+ Photos. With your CMCSS Google account, you get UNLIMITED storage across Google apps.

Social Bookmarking for Access to Bookmarks from Any Computer

Keeping your bookmarks on the web keeps them from getting lost again ever. Access them from any computer and any browser. Share your bookmarks with your student computers. Share your bookmarks with your fellow teachers and students' parents.
Click the Join Diigo link at the top right of the page.
You will get a verification email to check. If you are using your CMCSS email account, this email might stuck in Barracuda.
If you are using your CMCSS email, consider using the free Educator Upgrade link after your account is created.
If you don't immediately receive a verification email, go to http://barracuda.cmcss.net. Type your email address in the username. If you don't know your Barracuda password, leave it blank so Barracuda can send your CMCSS account a new password. Click Login.
To add a Bookmark... When you are on a website that you want to bookmark, click the "Bookmark" button, then type the names of keywords into the "tags" section. Diigo uses tags to sort your bookmarks into webpages within Diigo. Click "Save".
Other Search all bookmarks of other people in Diigo. Make one of your tags be the start page for your student computers.

Other browsers for Mac only have bookmarklets to install by dragging and dropping into the bookmarks toolbar of your Safari browser. Follow the linkhttp://www.diigo.com/tools/diigolet to add a bookmarklet.
2. Sharing Websites with Others in Symbaloo EDU
Alllows teachers to share websites, games, videos, images, etc. by creating online webmixes. Webmixes can be published and shared with colleagues, students, and parents. Teachers and students build a virtual textbook of sorts.
Fill out Name (as you want it to appear to others), your school system email address, a password of your choice, and checkmark the "I agree..." statement.
Click the orange "Create Free Account". A verification email will be sent.
Go to your email program to click the verification link.
Back in Edu.Symbaloo.com, click the orange button to "Get Started in Symbaloo". You are now ready to create your first webmix.

On the student machine, open Safari and/or Firefox.
Go to Preferences under the Safari or Firefox menu.
Go to the General tab in Preferences.
In the “Home Page” textbox, type the address above.

Embedding your SymbalooEDU webmix on your webpage
Click on Webmix Details and Share My Webmix
Here you can fill in the webmix title, description, and any tags you want it to be associated with the webmix.
Choose to make your webmix public or private and click SHARE MY WEBMIX
You will then have the option to copy and paste the link that will take you to the webmix OR
You can Embed the webmix so it will appear on your webpage. To do this click on Embedded Copy on the left
Then you must copy the long code and paste it in the Classroom news section of your webpage.
The code looks something like this: <iframe frameborder='0' noresize='noresize' src='http://edu.symbaloo.com/embed/team-techenvironment' name='_symFrame' width='920px' height='600px'></iframe> (you may see different numbers)
When you paste this in your Classroom news section you may wish to change the numbers on the width and height to 560 and 420.
